The challenge of medical care in chaotic environments

At large events such as concerts, festivals and horse racing, medical staff must act fast – often without knowing what they are heading into. Communication takes place through radio in loud environments, documentation is done on paper, and follow-up is almost non-existent. It’s unsafe, inefficient and sometimes life-threatening. Apex identified a critical need: a digital event medical system that collects alerts, prioritisation, positioning, communication and note-taking – in real time. A system that reduces stress, increases efficiency and creates safety – for both staff and visitors.
The solution – A digital event medical system where every second matters
Together with Softhouse, Apex Aid Service developed a digital platform that manages the entire chain – from the first alert to the final documentation. The system gives staff the right information instantly: where to go, what equipment is needed and how severe the situation is.
Key features of the event medical system:
- Alerts with priority levels 1–3
- Automatic resource suggestions based on proximity
- Real-time status tracking: “on site”, “completed”, with time logs
- Note-taking function with permission control
- Statistics module (number of interventions, types of injuries, response times)
- Module for missing persons and evacuation alerts
- Role-based views (medical staff, security, coordinators)

The technology is built on a secure, scalable and user-friendly framework – developed by Softhouse’s experienced software team with a focus on robustness, secure data sharing and a clear user experience.

The result – Fewer minutes to action, more lives saved
During for example the Elitloppet event, more than 50 medical cases were handled through the system. Only three required a regional ambulance – the rest were resolved on site thanks to the medical staff and the system’s speed and clarity.
